Action & Review Outstanding Tasks

The VMware Service Portal enables external officers and external suppliers to view, take action on, and complete any calls or tasks assigned to them. You can access this function via the following options:

From your Home page, select from the list of the tasks assigned to you. Click to select the task to view its details. The details are displayed on the Task Details page.

From your Home page, within the Your Tasks summary, click More Outstanding Tasks. Use the steps below to search for a Task.

On the Service Portal navigation bar, click Tasks. The Action & Review External Tasks page is displayed. Use the steps below to search for a Task.

To begin your search, follow these steps:

  1. Select the ownership of the Task for which you are searching using the Search Within radio buttons. Only one option can be selected. The options available are:

·         Selecting Your Contracts' Tasks return Tasks that are linked to contracts which in turn have you linked as an external officer.

·         Selecting All Tasks will return results on all Tasks that you have permission to view. This would include all Tasks forwarded to the external supplier to whom you are linked as an external officer.

  1. In the Task No field, type the Task number. Leave this field blank if you are not searching for a specific Task. If you specify Task number, it takes precedence over all other search criteria. Only the Task number is then used for locating Tasks.
  2. Select the Task status. The Task status can be Pending External Action, Completed < 1 Week or Completed < 4 Weeks. Only one option can be selected.
  1. Click Search to view the search results. Your search results are displayed on the External Tasks Summary page. You can view the details about a Task by clicking . The details are displayed on the Task Details page.

From the Task Details page, you can add a note by clicking the Add Note button, or attach an object, such as a screen shot, by clicking Attach Object. These procedures are exactly like adding a note to an Incident and attaching an object to an Incident.

To return to the Action & Review Outstanding Tasks page, click the Back button.

Deferring a Task

There may be times when you would need to defer a task, for example when you need additional information about the task or need to complete some other urgent task, and want to put this task on hold for some time. You can defer a task that has been forwarded to you for completion, and complete it at a later stage.

Use the Comments field to specify any relevant comments about the task. To defer the task, click Defer on the Task Details window. A message indicating that you have successfully deferred the task is displayed.

Completing a Task

Once you have completed the work assigned to you via a task, you can mark the task as completed. This will send a notification to the officer responsible for the task; this officer can then close the task in VMware Service Manager.

Use the Comments field to specify any relevant comments about the task. Click Complete to mark the task as completed. A message indicating that you have successfully completed the task is displayed.
